1. Who We Are

All tours, safaris, trekking adventures, and travel experiences are operated by Rover Tanzania Safari, a tour company registered and operating in the United Republic of Tanzania.

Throughout these Terms and Conditions, “Rover Tanzania Safari”, “the Company”, “we”, “our”, or “us” refers to Rover Tanzania Safari.

We specialize in Tanzania wildlife safaris, Mount Kilimanjaro trekking, Zanzibar holidays, cultural tours, and East African travel experiences.

2. When These Terms and Conditions Apply

These Terms and Conditions govern the relationship between the Client and Rover Tanzania Safari and apply in the following situations:

When you book a tour directly with us;
When you book through our representatives, travel partners, or travel agencies;
When you confirm any safari, trekking, or travel service operated by Rover Tanzania Safari.

By making a booking with us, you acknowledge and agree to be legally bound by these Terms and Conditions.

These Terms and Conditions define your rights, obligations, and responsibilities while participating in our tours and travel services in Tanzania and East Africa.

3. Our Warranties and Representations

Rover Tanzania Safari warrants and represents that:

We possess the necessary licenses and permits required to organize and operate safaris, trekking expeditions, and tours in Tanzania and East Africa;
Our guides, drivers, consultants, and operational staff are professionally trained and experienced;
All information presented in our marketing materials, itineraries, and advertisements is accurate and truthful;
Certain services within our travel packages may be operated by carefully selected third-party suppliers such as hotels, lodges, airlines, and transportation providers.

We are committed to responsible tourism and sustainable travel practices. Therefore:

Our staff are paid fair wages in accordance with Tanzanian labor standards;
We respect environmental conservation and avoid harmful tourism practices;
We support local communities and sustainable tourism initiatives;
We promote ethical tourism practices that protect wildlife, nature, and cultural heritage.

We maintain strict “leave-no-trace” principles to preserve Tanzania’s natural environment for future generations.

4. Treatment of Your Personal Information

To organize your travel arrangements, we may require personal information including:

Full name;
Nationality;
Passport details;
Dietary preferences;
Medical information relevant to your trip.

This information may be shared only when necessary with:

National park authorities;
Accommodation providers;
Transport operators;
Government agencies involved in your travel arrangements.

All personal information shall be handled responsibly and confidentially.

5. Communications and Correspondence

For your safety and protection against travel fraud, all official communications with Rover Tanzania Safari should be conducted through:

Our official company email addresses;
Official telephone and WhatsApp numbers published on our website;
Website contact forms or live chat systems.

If you suspect fraudulent communication claiming to represent Rover Tanzania Safari, please contact us immediately through our official channels.

6. Booking and Payment Process

Your booking process begins once you contact Rover Tanzania Safari regarding your desired travel experience.

A travel consultant will assist you with planning your itinerary, accommodations, and travel arrangements.

Booking Confirmation

Your booking is confirmed once we receive the required deposit payment.

A deposit of 40% of the total tour cost is required to secure your reservation;
Full payment must be completed no later than 30 days before arrival unless otherwise agreed in writing;
All travel packages must be fully prepaid before the tour commencement date.

Failure to complete payment on time may result in cancellation of your booking.

Payment Charges

Clients are responsible for:

Bank transfer fees;
Currency conversion charges;
Credit card transaction fees.

A surcharge may apply to credit card payments.

7. Age Restrictions
Mountain Expeditions

For safety reasons, participants joining Mount Kilimanjaro or Mount Meru trekking expeditions must generally be between 12 and 70 years old.

The Company reserves the right to refuse participation if safety concerns arise.

Safaris and Excursions

No specific age restrictions apply for safaris, cultural tours, or day trips. However, minors must always be accompanied by a parent, guardian, or responsible adult.

8. Participation of Minors

Bookings for individuals under 18 years of age must be made by a parent, guardian, or legal custodian.

The accompanying adult accepts full responsibility for the minor throughout the tour.

Parents or guardians are responsible for ensuring all travel documentation and legal requirements for minors are fulfilled.

9. Third-Party Bookings

If you book on behalf of other travelers, you accept responsibility for:

Communicating these Terms and Conditions to all participants;
Ensuring all traveler information is accurate;
Making payments on time;
Informing participants of itinerary changes or updates.
10. Prices

Once your booking is confirmed, prices are generally fixed.

However, Rover Tanzania Safari reserves the right to adjust prices if there are increases in:

Government taxes;
National park fees;
Tourism levies;
Fuel surcharges;
Third-party operational costs beyond our control.

If a significant price increase occurs, you may:

Accept the revised price; or
Cancel your booking in accordance with our cancellation policy.

11. Changes to the Itinerary
Changes by the Client

Clients may request itinerary changes. Any additional costs arising from such changes shall be covered by the Client.

Unused services, meals, accommodations, or activities are non-refundable.

Changes by the Company

We reserve the right to modify itineraries when necessary due to:

Weather conditions;
Safety concerns;
Road conditions;
Government regulations;
Operational requirements;
Force majeure events.

Whenever possible, reasonable alternatives will be provided.

12. Changes to Travel Dates

Travel date change requests must be submitted at least 60 days before the original departure date.

Date changes are subject to:

Availability;
Seasonal pricing;
Airline policies;
Accommodation provider conditions.

Additional charges may apply.

13. Cancellation Policy
Cancellation by the Client

The following cancellation fees may apply:

More than 90 days before arrival: partial refund less administrative and banking charges;
60–89 days before arrival: deposit forfeited;
30–59 days before arrival: 60% cancellation fee;
8–29 days before arrival: 80% cancellation fee;
0–7 days before arrival: no refund.

Non-refundable expenses charged by hotels, airlines, or third-party suppliers may additionally apply.

Cancellation by the Company

If Rover Tanzania Safari cancels your tour, all payments made to us shall be refunded in full.

14. Travel Documents and Visa Requirements

Clients are responsible for obtaining:

Valid passports;
Visas;
Vaccination certificates;
Entry permits;
Any other travel documentation required for Tanzania or transit countries.

Passports should remain valid for at least six months beyond the date of entry into Tanzania.

Visa information provided by Rover Tanzania Safari is for general guidance only and may change without notice.

15. Accommodation

Our safari and trekking packages include accommodations as specified in your itinerary.

In rare cases where the listed accommodation becomes unavailable, we reserve the right to substitute it with a similar standard alternative.

Single supplements may apply for private room requests.

16. Fitness and Medical Information

Clients are responsible for determining whether they are medically and physically fit to participate in our tours.

We may request medical information or medical clearance for certain activities, especially high-altitude trekking.

Failure to disclose relevant medical conditions may result in tour cancellation without refund if safety concerns arise.

17. Travel Insurance

Comprehensive travel insurance is mandatory for all travelers joining our tours.

Your insurance policy should include coverage for:

Emergency medical treatment;
Evacuation and repatriation;
Trip cancellation;
Personal injury;
High-altitude trekking where applicable.

Failure to obtain suitable insurance may result in denial of participation.

18. Vaccinations

Travelers are responsible for consulting qualified medical professionals regarding recommended or required vaccinations for Tanzania.

We provide only general travel information and not medical advice.

19. Authority of Our Guides

All travelers must follow the instructions and decisions of Rover Tanzania Safari guides, drivers, and tour leaders.

Guide decisions related to safety, health, logistics, or operational matters are final.

We reserve the right to remove any participant whose behavior threatens safety, wellbeing, or the overall experience of others.

20. Assumption of Risk

By joining our tours, you acknowledge that adventure travel involves inherent risks including but not limited to:

Wildlife encounters;
High-altitude conditions;
Remote locations;
Weather conditions;
Transportation delays;
Limited medical facilities.

You voluntarily assume all associated risks.

21. Liability for Damages

Clients are financially responsible for any damage or destruction caused intentionally or negligently to:

Safari vehicles;
Camping equipment;
Hotels and lodges;
Rental gear;
Company property.

Compensation must be settled before departure from Tanzania.

22. Liability for Third-Party Services

Some services within your tour may be provided by third-party companies including airlines, lodges, and transport operators.

Rover Tanzania Safari is not liable for:

Delays;
Service interruptions;
Losses;
Injuries;
Damages caused by third-party providers.

Such services are subject to the terms and conditions of the respective suppliers.

23. Equipment and Gear

Personal trekking gear and clothing are generally not included unless specifically stated.

Equipment rental services may be available at additional cost.

Travelers are responsible for ensuring they carry suitable personal equipment for their adventure.

24. Luggage and Valuables

Clients are responsible for safeguarding their personal belongings, valuables, money, electronics, and luggage.

Rover Tanzania Safari shall not be liable for:

Lost luggage;
Theft;
Damage to personal belongings;
Airline baggage delays.

25. Images and Marketing

During tours, photos and videos may be taken by our staff or other travelers.

By participating in our tours, you consent to the use of such media for marketing and promotional purposes unless you specifically request otherwise in writing.

26. Force Majeure

Rover Tanzania Safari shall not be liable for delays, cancellations, or failures caused by circumstances beyond our reasonable control, including:

Natural disasters;
Political unrest;
War;
Government actions;
Epidemics;
Severe weather;
Transportation disruptions;
Labor strikes.

27. Complaints

If you are dissatisfied with any aspect of our services, please notify your assigned tour consultant or guide immediately so that we may attempt to resolve the issue promptly.

Formal complaints should be submitted in writing within a reasonable period after the completion of your tour.
